Qualifications
- Experience in supervising people in technical and personnel matters
- Experience in the technical management of physical and electronic documents
- Experience in the oil or equivalent engineering industry
- Knowledge of software, equipment, and best practices related to document management
- Good skills in the Microsoft Office Suite of programs
- Basic knowledge of AutoCad and related files
- Good written and oral communication skills
- Good organizational skills
- Hard working, efficient, and highly motivated to produce quality work
- Effective in motivating staff and maintaining high performance standards
- Ability to work in a fast-paced environment with multiple priorities and deadlines
- Available to work additional hours at short notice, when required.
Responsibilities:
The Document Services Group includes Document Control/Vendor Document Control staff. Duties and responsibilities include the following.
- Technical supervision of Document Services and responsible for assignments, technical overview, logistics and quality
- Enforce clients' document control requirements
- Day to day administrative supervision of Document Services personnel including those working in branch offices and at on-site client locations
- Report to Project Management Department Manager
- Maintain Anvil's document database(s) and interface with those of our clients
- Process document/drawing check-out from clients and return to clients
- Manage printing and submittal of document/drawing packages to client
- Assist workgroups with as-built packages
- Act as back-up for document services and print-room staff as required
- Interface with client counterparts and document-services representatives
- Interface with project managers project assistants and program managers on matters related to submittals and document management
- Interface with the Procurement Group on matters related to vendor documents
- Estimate budget hours for the document services group's work
- Manage the group's project and overhead budgets
- Oversee off-site archiving for the Bellingham office
- Lead the group's participation in monthly safety meetings
- Manage equipment operation and service contracts
- Serve on the CAD Committee
